Summary
As part of the Member Outreach team in QM, the Medical Records Clerk II is responsible for collecting and overseeing the collection of medical records from contracted and non-contracted providers to support health plan supplemental data and audit requests. Although the Clerk will be managed in QM, the position will be the central collector of records for all departments that require support for supplemental data or audits.
Duties and Responsibilities:
- Contact key staff at provider offices, clinics and/or hospitals via phone, fax or e-mail to request specific medical records
- Document attempts to procure select medical records including attainment success
- Ensure that the medical records received are organized, appear to be accurate and complete
- Store digital copies of the paperwork in established repository
- Obtains records in EHR systems if access available
- Safeguard the patient records and ensure that the procurement process is in compliance with HIPPA standards
- Create reports on a weekly and monthly cadence to display progress
- Meet productivity standards for obtaining medical records
- Meet compliance and timeliness regulations with medical record collection
- Have knowledge and availability to answer questions from Medical Records Clerks
- Provide input on a process to standardize medical record collection and documentation to include assistance to develop an in-house utility, if needed
- Audit and oversee the Medical Records Clerks to ensure that the collected medical records are complete
- Assist HEDIS/STARs quality coordinators on special projects as needed
- Additional projects in the Quality Management department as required
Minimum Job Requirements:
- High School graduate or GED equivalent
- Two years experience working in a call center or medical record environment
- Demonstrate clear knowledge of MPM’s standards, procedures and protocols
Skills and Abilities:
- Strong organizational and leadership skills
- Effective verbal and written communication skills
- Effective interpersonal skills
- Previous experience with medical/clerical office procedures preferred
- Ability to multitask in a busy department
- Minimum or higher proficiency level with Microsoft Office Programs; primarily Word and Excel 2013 or higher
- EZ-CAP® knowledge a plus
